Post Title: Personal Assistant – Two (2) Positions Available

The Department invites suitably qualified, professional, and highly organized individuals to apply for the position of Personal Assistant. Two posts are currently available at the Head Office in Polokwane, each providing direct support to Senior Management Services (SMS) members.

One post is based within Corporate Management under Reference Number LDARD 19/11/2025, while the second post is within HOD Support Services under Reference Number LDARD 20/11/2025.

The successful candidates will be appointed at Salary Level 07, with a remuneration package of R325 101 per annum, in line with government salary structures and benefits.

Minimum Requirements

Applicants must be in possession of Grade 12 (Matric) and a Secretarial Diploma, Administration qualification, or any other relevant equivalent qualification recognized by the South African Qualifications Authority (SAQA).

In addition, candidates must have at least two (2) years’ experience providing administrative or secretarial support to a member of Senior Management Services (SMS). Experience in a government or corporate environment will be an added advantage.

Knowledge, Competencies and Skills

The ideal candidate must demonstrate excellent language and communication skills, with the ability to interact professionally with people at different organizational levels and from diverse backgrounds. Strong telephone etiquette and professional conduct are essential, as the role often serves as the first point of contact for the SMS office.

Applicants must be computer literate, with practical knowledge of Microsoft Office applications such as Word, Excel, Outlook, and PowerPoint. The position requires strong organizational and planning skills, as well as the ability to manage diaries, schedules, and competing priorities efficiently.

Good interpersonal and people skills are essential, along with a high level of reliability, confidentiality, and integrity. Candidates must be able to act with tact and discretion, especially when handling sensitive information.

Strong written communication skills are required for drafting correspondence, reports, and submissions. The ability to conduct research, analyze documents, and interpret situations accurately is also important. Candidates should demonstrate good self-management, motivation, professionalism, and a high standard of personal grooming and presentation.

A sound understanding of relevant legislation, policies, prescripts, and procedures governing the public service is essential. Basic knowledge of financial administration, including budget support and expenditure monitoring, will be an added advantage.

Key Duties and Responsibilities

The Personal Assistant will be responsible for providing comprehensive secretarial and administrative support to a member of Senior Management Services (SMS). This includes managing diaries, scheduling appointments, coordinating travel arrangements, and handling correspondence on behalf of the SMS member.

The incumbent will provide reception and office support services, including answering calls, receiving visitors, and ensuring effective communication within and outside the office. Administrative support duties include filing, record-keeping, document management, and maintaining confidential information.

The role further involves supporting the organization and coordination of meetings, including preparing agendas, taking minutes, arranging venues, and following up on action items. The Personal Assistant will ensure that meetings are well organized and that relevant documentation is prepared in advance.

The successful candidate will also assist the SMS office with budget administration, including monitoring expenditure, processing payments, and ensuring compliance with financial procedures. This requires basic financial knowledge and attention to detail.

An important aspect of the role is to study and understand Public Service and departmental policies, prescripts, and procedures, ensuring that their application within the SMS office is correct and consistent. The Personal Assistant will support the SMS member by ensuring compliance with applicable regulations and administrative requirements.

Overall, the position requires a professional, organized, and dependable individual who can function effectively in a high-pressure environment while maintaining confidentiality and providing quality support services.
